Introduction

GetSwarms Ltd. is fully committed to safeguarding the health, safety, and welfare of its employees, contractors, visitors, and any individuals who may be affected by its operations. As far as is reasonably practicable, we will establish and maintain robust procedures to ensure full compliance with all relevant statutory obligations.

This Health and Safety Policy has been developed in accordance with the Health and Safety at Work etc. Act 1974 and is structured around the principles of Plan, Do, Check, and Act. It outlines how we manage health and safety risks across our premises, work activities, and service delivery. The policy is authorised and endorsed by the most senior leadership within the company.

We adopt a systematic and proactive approach to health and safety management. All foreseeable risks are identified, assessed, and mitigated through appropriate control measures, which are clearly communicated to those who may be affected. We regularly monitor our health and safety performance to drive continual improvement and ensure the protection of staff, stakeholders, and the public.

At GetSwarms Ltd., the health and safety of our workforce is a top business priority. No employee will be required to undertake any task they believe to be unsafe. We commit to exceeding industry standards where possible and will comply with all applicable occupational health and safety regulations, including but not limited to those outlined by OSHA or UK HSE.

To support this, a dedicated Health and Safety Committee—comprising both management and employee representatives—will be established. This committee is responsible for identifying hazards, eliminating unsafe work practices, promoting safety awareness, and reviewing progress toward maintaining a safe, injury-free workplace.

 

Our Commitment

GetSwarms Ltd. acknowledges its legal and moral responsibility to protect the health, safety, and welfare of its employees and all individuals who may be affected by its operations. As part of our ongoing commitment to ensuring a safe working environment, we will:

  • Maintain our premises in a safe and functional condition, with adequate welfare provisions for all staff and visitors.

  • Ensure safe access to and always exit from the workplace.

  • Identify potential hazards arising from our activities and implement appropriate control measures.

  • Provide and maintain tools, equipment, and working systems that are safe and compliant with regulations.

  • Manage the safe use, handling, and storage of substances and materials.

  • Keep all workspaces clean, orderly, and hygienic, with clear measures in place to control the risk of infection.

  • Require all contractors working on our behalf to follow approved safe systems of work and engage only competent personnel.

  • Handle and dispose of waste in a responsible, safe, and environmentally compliant manner.

  • Offer clear information, instruction, training, and supervision to ensure the safety of all employees and those affected by our activities.

  • Engage and consult with employees on health and safety matters, fostering a culture of shared responsibility.

  • Monitor, review, and continuously improve our health and safety performance to uphold best practice standards.

This Health and Safety Policy will be reviewed annually and updated as needed to reflect changes in legislation, business activities, or identified risks. Any amendments will be communicated to all staff to ensure continued awareness and compliance.

Organisation and Responsibilities

This section outlines how GetSwarms Ltd. is structured to manage health and safety effectively and provides clarity on individual responsibilities across the organisation.

 

Chief Executive Officer (CEO)

The overall responsibility for health and safety lies with the CEO, who shall:

  • Ensure the provision of a safe and healthy working environment across all business operations.

  • Allocate adequate resources to support the implementation of this policy.

  • Ensure that the policy is communicated to all employees under their leadership.

While day-to-day responsibilities may be delegated to competent managers or safety leads, the CEO retains ultimate accountability for the implementation and performance of this policy.

 

Managers and Supervisors

Managers are responsible for the operational delivery of health and safety procedures and shall:

  • Fulfil all duties delegated by senior management in line with this policy.

  • Ensure the policy is communicated to staff under their control and promote active engagement through regular consultation.

  • Identify and assess risks within their areas of responsibility and implement suitable control measures.

  • Determine training needs based on risk assessments and ensure staff receive appropriate instruction, training, and supervision.

  • Conduct periodic inspections of work environments and equipment to verify compliance with safety standards.

  • Oversee contractor activities, ensuring they operate within approved procedures and issue permits where applicable.

  • Investigate, record, and (where necessary) report accidents or near-misses to the relevant enforcing authority (e.g. HSE) and take corrective action to prevent recurrence.

 

Employees

Every employee has a personal duty to uphold health and safety standards and must:

  • Take reasonable care of their own safety and that of others affected by their work.

  • Cooperate with the company on all matters related to health and safety.

  • Participate in mandatory training and follow approved safe working procedures.

  • Use tools, equipment, and machinery in accordance with both company policy and manufacturer instructions.

  • Promptly report hazards, unsafe conditions, or accidents to their line manager.

  • Wear and maintain all required personal protective equipment (PPE) as instructed.

  • Adhere to infection control protocols and hygiene measures.

  • Immediately notify management of any faulty equipment or safety concerns.

 

Arrangements

This section outlines the practical arrangements that GetSwarms Ltd. has in place to maintain a safe and healthy working environment for all employees, visitors, contractors, and members of the public.

Accident Investigation and Reporting

All accidents, incidents, and near-misses must be reported immediately by employees as they occur. GetSwarms Ltd. is committed to investigating all such events to determine root causes and implement corrective actions to prevent recurrence.

The Office Administration Manager is responsible for overseeing accident investigations, including those involving visitors, contractors, or members of the public. Where required, the findings will be shared with relevant enforcement authorities and insurers to ensure transparency and compliance.

 

Communication and Consultation

GetSwarms Ltd. recognises the importance of open dialogue on health and safety matters and will actively consult with employees on issues that may impact their well-being at work. We will ensure that all relevant information is effectively communicated through:

  • One-on-one discussions and briefings

  • Staff meetings and team sessions

  • Internal communications such as notices, memos, or newsletters

Each work location will display the statutory "Health and Safety Law: What You Need to Know" poster or an equivalent source of accessible safety information.

 

Contractor Management

All contractors engaged by GetSwarms Ltd. must adhere to this Health and Safety Policy, including our fire safety procedures and site-specific rules. Contractors are responsible for ensuring that their tools, equipment, and work environments are safe and do not pose health risks to others.

The Office Administration Manager has full authority to stop any contractor activities that present a risk to health and safety. In addition, all employees are encouraged to report any unsafe behaviours or conditions related to contractor work directly to their line manager without delay.

Information, Supervision and Training

GetSwarms Ltd. is committed to ensuring that all employees receive appropriate instruction, training, and supervision to carry out their duties safely and without posing a risk to themselves or others.

All new employees will undergo health and safety induction training, and refresher training will be provided at intervals deemed appropriate by the Company, based on the nature of work and associated risks.

Training will cover, but is not limited to:

  • Identifying hazards and applying appropriate risk control measures

  • Fire safety awareness and emergency response procedures

  • Safe and correct use of equipment and tools

  • Procedures for reporting accidents, incidents, and near misses

Where job-specific hazards are present, additional role-specific training will be provided. The Company will maintain up-to-date training records for all employees, ensuring compliance and accountability.

 

Manual Handling

GetSwarms Ltd. recognises the risks associated with manual handling and aims to eliminate such tasks where reasonably practicable. Where manual handling cannot be avoided, a risk assessment will be carried out by the Office Administration Manager to evaluate the potential impact on employees and implement the following hierarchy of controls:

  • Eliminate the manual handling activity where feasible

  • Minimise the load or redesign the task to reduce risk

  • Provide mechanical aids or handling equipment where necessary

  • Ensure employees receive clear instructions and training on safe manual handling techniques

These controls are designed to reduce the likelihood of injury and ensure compliance with the Manual Handling Operations Regulations 1992.

Visitors and Members of the Public

GetSwarms Ltd. is committed to ensuring, so far as is reasonably practicable, the health, safety, and welfare of all visitors, contractors, and members of the public who may access its premises. All publicly accessible areas will be maintained in a condition that is free from foreseeable hazards.

Employees are expected to remain vigilant and report any behaviour or activity that could pose a risk to others. If an individual observes conduct that could endanger colleagues or the public, they must notify their line manager promptly. Where an immediate danger exists, employees are expected to use sound judgment to alert others, call for assistance, or intervene appropriately and safely.

 

Work Equipment

GetSwarms Ltd. will ensure that all equipment provided for use in the workplace is:

  • Procured from reputable suppliers and verified for quality and compliance

  • Suitable for its intended purpose and safe to operate

  • Subject to regular inspection, servicing, and maintenance as required

  • Stored securely to prevent damage, unauthorised access, or misuse

Employees must receive appropriate information, instruction, and training before operating any work equipment. Under no circumstances should untrained staff use equipment beyond their level of competence or authorisation.

Any equipment found to be faulty, unsafe, or defective must be immediately taken out of use and reported to the Office Administration Manager, who will assess and arrange for appropriate repair, replacement, or disposal.

Company Safety Rules

All employees of GetSwarms Ltd. have a personal responsibility to follow the health and safety rules set out in this policy. Failure to comply with these rules may be treated as a breach of contract and could result in disciplinary action, up to and including dismissal.

 

All employees must:

  • Take reasonable care for their own health and safety and that of others who may be affected by their actions or omissions.

  • Be familiar with and follow all company health and safety policies, procedures, and guidance.

  • Immediately report unsafe working conditions, hazards, or behaviours to their line manager.

  • Comply with all emergency procedures and ensure fire escapes, extinguishers, and fire doors are kept clear and unobstructed.

  • Keep workspaces clean, orderly, and free of slip or trip hazards; clean up any spillages immediately.

  • Use all equipment, tools, and facilities correctly and safely.

  • Dispose of waste appropriately in designated containers to avoid creating health or environmental hazards.

  • Wear suitable clothing, footwear, and personal protective equipment (PPE) as required for the task.

  • Report all incidents, injuries, or near-misses promptly and ensure proper recording in the company accident book.

  • Disclose any medical condition that may impact their own safety or that of others.

  • Observe and comply with all hazard signs, warning notices, and safety instructions displayed in the workplace.

 

Employees must not:

  • Undertake any task that appears unsafe or that they are not trained or authorised to perform.

  • Misuse, damage, or tamper with firefighting equipment, safety devices, or protective guards.

  • Interfere with health and safety provisions or equipment installed for protective purposes.

  • Drive or operate any machinery or vehicles if impaired by illness or a medical condition that could affect performance.

Note: This list is not exhaustive. Additional duties may apply based on specific roles or risk profiles.

 

Rules Concerning Gross Misconduct

The following are examples of serious breaches of safety rules that may result in summary dismissal:

  • A wilful or reckless breach of company safety rules or procedures.

  • Intentional damage to, misuse of, or interference with health and safety equipment or welfare facilities.

  • Engaging in dangerous behaviour, such as horseplay or practical jokes, that may lead to injury or accidents.

  • Deliberately ignoring a lawful and authorised health and safety instruction from a supervisor or manager.
